TT-Office provides voice continuity without special equipment and with no single dependencies on network or device type
TT-Office claim that mobile phone networks do not offer the applications needed to continue business-as-usual, such as using alternative contacts and team working. Mobile mailboxes will create less professional call handling and the ability to record calls will be lost. Customers may not have mobile contact details and the company’s main reception number is rarely mobile.
“Mobile phones are, typically, seen as the easy, low cost solution for telephony business continuity,” explained Steve Haworth, CEO of TeleWare plc. “Yet, one of the first services to be lost in situations that may involve a terrorist attack is the mobile network, since mobile devices have been known to be used as a detonator. This aside, the sheer volume of calls is likely to make communications difficult when most needed,” added Haworth.
With TT-Office, numbers can be directed to any telephone number immediately, either through pre-set rules or via web or telephone activation. TT-Office provides a flexible business continuity solution to cater for unforeseen events, whether they are large catastrophic events or smaller, more personal disruptions to the working day.
Capabilities provided by TT-Office to support telephony in a critical continuity situation include:
Group Voice Message Broadcast – Alerts employees by sending an automated voice message to multiple voice mailboxes of either the entire organisation or specified groups directly affected by the emergency.
Announcement Mailbox – Provides a single number for staff to dial into to get up-to-date information. Announcements can be re-recorded at any time from any phone.
Call Recording – Can be invoked to any handset, enabling companies with compliance issues to allow employees to remain productive on their mobile or home telephones during voice continuity crises.
Unified Messaging – Provides both voicemails and faxmails to any location, including email inboxes for teams or individuals, ensuring important messages are not missed or inaccessible.
Mobile Activation of Emergency Mode – Enables front desk messages to be changed from any phone, including a mobile. This feature is also useful in fire drills when the office is quickly evacuated and the ‘divert to emergency’ option is rarely activated before leaving the building.
Instant Conferencing – Enables immediate discussions between key personnel to handle the crisis and communicate with staff.
Secure Acceptance – Ensures that critical messages are secure and use of a PIN to collect the message ensures they are received by the appropriate person.
Nominated Alternatives – Calls are passed to an appropriate alternative person or team and by use of whisper transfer, allowing calls to be answered appropriately.
Voice Activated Directory – Running from a secondary site, this can assist in calling colleagues when their
number is unknown and the manned switchboard is no longer available.
